Privacy policy

Your story is yours. So is your information.

This notice explains what KAMA collects through this website, why we need it and the choices you have under South Africa’s privacy law.

This notice applies to website visitors, applicants, prospective learners, enrolled students, parents or guardians, facilitators, partners and anyone who contacts KAMA through this website or our academy email addresses.

Who we are

Kora Africa Media Academy (KAMA) is a practical skills and talent-development academy. For the personal information described in this notice, KAMA determines why and how that information is used.

We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African law.

Information we collect

We collect information directly from you when you complete a form, use your student account or communicate with us. Authorised staff also create application and learning records during administration and teaching.

  • Applications: your verified Kora Stream Africa member ID and email address, name, phone or WhatsApp number, country, city or town, age group, creative path, programme interest, experience level, motivation and an optional portfolio or showreel link.
  • Student and application records: application references and decisions, interview arrangements and outcomes, student numbers, enrolment and cohort details, timetables, attendance, practical work, progress, assessment scores and feedback, certificate details, administrative notes and communication history.
  • Partnership enquiries: organisation name, contact person, role, work email, optional phone number, partnership area and message.
  • General enquiries: your name, email address, optional phone number, enquiry subject and message.
  • Site and security information: our hosting and security providers may process technical details such as IP address, browser or device information, timestamps, requested pages and authentication or security logs.

Fields marked as required are needed to process the relevant application or enquiry. Without them, we may be unable to assess your application or respond. Portfolio links and fields marked optional are voluntary; you may browse public pages without applying.

Please do not send identity documents, financial information, medical information or other sensitive details through a website form unless KAMA specifically asks for them through an appropriate secure process.

How and why we use information

We use personal information only for a defined purpose, including to:

  • receive, assess and administer academy applications;
  • contact applicants about their application or relevant programme information;
  • answer questions and provide application and student support;
  • administer enrolment, practical sessions, timetables, attendance, assessments, results and certificates;
  • investigate complaints, protect learners and address conduct or safety concerns;
  • assess partnership proposals and continue partnership discussions;
  • operate, secure, troubleshoot and improve the website and its forms;
  • keep appropriate operational records and meet legal obligations; and
  • establish, exercise or defend legal rights when necessary.

Depending on the situation, our processing may be based on your consent, steps connected to a possible agreement, a legal obligation, or a legitimate interest that does not unjustifiably interfere with your privacy.

Submitting an application does not subscribe you to unrelated marketing. If KAMA introduces promotional communications, they will include the choices required by applicable law.

Applicants under 18

If an applicant is under 18, a parent or legal guardian must provide prior consent for their personal information to be processed, unless another lawful authorisation applies. Please contact our admissions team before submitting a minor’s information so that KAMA can explain the consent process. Separate guardian consent is required for enrolment and participation in practical activities.

Applicants should provide only the information requested in the form. A parent or guardian may contact KAMA to ask about, correct or request deletion of a minor’s information, subject to applicable law.

Sharing and transfers

We may share personal information only where reasonably necessary with:

  • our website hosting and database providers, the Kora Stream Africa account service used for sign-in, domains.co.za for academy email hosting, and other security or operational providers where needed;
  • our transactional email provider, Resend, when delivering application confirmations, application updates and administrator notifications;
  • professional advisers and authorised KAMA team members who need the information for their work;
  • education, programme or industry partners when needed for an opportunity and where an appropriate legal basis and safeguards apply; and
  • regulators, courts, law-enforcement bodies or other parties when disclosure is required or permitted by law.

Student records are available to the student concerned and authorised team members with a work-related need. Sponsors do not automatically receive identifiable student records. Reporting to sponsors should use aggregated or de-identified information where possible; identifiable disclosures require a lawful basis.

Some service providers may process information outside South Africa. Where personal information crosses borders, KAMA will use a lawful basis and reasonable safeguards consistent with POPIA.

Security and retention

We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Access to website submissions is restricted to authorised administrators.

No online service can promise absolute security. If a security compromise affecting personal information occurs, KAMA will assess it and provide notifications where required by law.

We keep personal information only for as long as reasonably necessary for the purpose collected, for legitimate record-keeping, or as required by law. When it is no longer needed, we will delete, destroy or de-identify it in a reasonably secure manner.

Your rights

Subject to POPIA and any lawful limitations, you may ask KAMA to:

  • confirm whether we hold personal information about you;
  • provide access to that information;
  • correct or update information that is inaccurate, incomplete, misleading or out of date;
  • delete information that is excessive, irrelevant, unlawfully obtained or no longer authorised to be kept;
  • consider an objection to certain processing; or
  • record the withdrawal of consent for future consent-based processing.

We may need to verify your identity before acting on a request. Withdrawing consent does not make earlier lawful processing invalid, and some information may still need to be retained where the law permits or requires it.

Cookies and site data

This website does not currently include advertising trackers or optional analytics scripts. Sign-in and site functionality may use essential cookies or browser storage to maintain a Kora account session, authenticate administrators and remember interface preferences. Hosting providers may also process technical logs for security and service delivery.

You can manage cookies and site storage in your browser. Clearing session data may sign you out, and blocking essential storage may prevent sign-in or other functions from working.

If KAMA later adds optional analytics or marketing technologies, this notice and any consent choices will be updated before those technologies are used where consent is required.

Photos, recordings and learner work

Assessment records and private classroom review are distinct from public promotion. KAMA will request separate permission before publishing an identifiable learner’s photograph, recording or original work for promotion, a public showcase or distribution. Applying or enrolling does not by itself grant that permission.

Media permission will state its purpose and scope. A parent or guardian must provide the required permission for a minor. You may decline optional promotional use without losing a learning place, and may ask about withdrawing future consent-based use.
